NSW Government agencies have a long history with SAP.
At TEC150, our leadership team has implemented SAP systems for NSW Government across multiple agencies over the last 20 years.
This blog will be looking at how NSW Government Agencies can utilise Process Mining to improve efficiency, governance and transparency of their core business processes.
To start the discussion, lets paint a picture of a typical NSW Government Agency. In addition to any "unique" business processes , we often see the following common process and software combinations.
The Process and Systems landscape;
Procure to Pay (SAP)
Accounts Payable (SAP)
Sourcing (Ariba)
VIM (OpenText)
Expense management (Concur)
ITSM (Service Now)
Case Management (C4C or Salesforce)
Plant Maintenance (SAP)
Across this landscape, some of the typical challenges faced by NSW Government agencies are;
Making Small Business Vendor payments on time
Streamlining Approval Processes
Development of a Digital Twin
Improving Cycle times
Developing Shared Services Benchmarking
Implementing Machinery of Government Changes
Adoption of "Gold Standard" processes
Obviously the landscapes and challenges each agency faces are larger than the lists above. However, the common processes and systems provide an opportunity to leverage knowledge of what has worked well elsewhere.
This is where TEC150 comes in.
We had a proven approach to improving your processes
You don't need a licence to get started
We are already an accredited supplier on BUY NSW
We can do this in 6-8 weeks
Sounds like its time to get started.
Let’s see how Celonis Process Mining helps with “Gold Standard” process compliance?
The process solution that you designed, signed off and implemented is running in a live environment, but to what extent is this actual system process compliant to your “gold standard” process model?
With Celonis we can show you how to,
produce a digital twin of your actual business process from your live data
identify the number of process variations
identify non-compliant activities to your “gold standard”
enable identification of the who, what and when
To illustrate this, lets walk through an example. In this case we have used procurement as an example but this could be applied to any process.
Here is how the process was designed
In this variant , everything in the P2P process looks good.
This is the “Happy path” and represents 1 of 673 variants which covers 45% of the cases
So the question is, what happened in the other 55% of cases ?
Here is what you think your process looks like
Here we can see an overlay of the most common 4 variants. These variants represents 4 of 673 variants which covers 75% of the cases
In this case, 669 of the variants are never considered
Here is how the process Actually runs
The 100% view of your process is quite surprising the first time you see it. The key points to note from the 100% view are;
Most of the process variants are never considered but they still happen. This is the ghost in the machine. You know something is wrong with the process but you can't see it
Without Process Mining there is limited transparency into your processes. If you cannot see all the variations then you cannot improve the process
So, Process Variability is killing you. And getting control over this Process Variability is fundamental to your business improvement trajectory.
In fact, Process Mining captures variability in a way that fundamentally supports your preferred improvement methodology whether it be Six Sigma, TQM, PDCA or BPM.
From recent projects, we have learnt that the opportunity gap is much larger than organisations think. Agencies often expect process variants to be in the hundreds, however Process Mining reveals the actual number to be in the thousands .
This presents a huge opportunity to remove unwanted variability as well as simplify and standardise processes.
Conclusion
Developing a "Gold Standard" model has been done for many years. However a key breakthrough using process mining is the ability to compare a gold standard model to an actual model to calculate the "Conformance Rate" and identify Non-Compliances.
If you are a NSW Agency with SAP, ServiceNow or Salesforce we need to talk. The challenges you face cannot be resolved with your existing tools and approach. Process Mining provides a breakthrough approach to create value from the data already sitting in your systems.
